The first storm is not the time to find out your snow plan has gaps. Here is the checklist we walk through with every property manager before the season starts.
1. Confirm your contract and pricing
Know whether you are on seasonal, per-push or per-inch pricing, what triggers service (usually 1 to 2 inches), and what is billed separately, such as sidewalk salting or snow hauling.
2. Update your site map
Mark priority areas such as entrances, fire lanes, ADA spaces and dumpster pads. Show where snow can be stacked, and flag curbs, islands, drains and anything that could be damaged under snow.
3. Set up one communication channel
Decide who can approve extra work and where requests go. At Rockport, every snow request goes to one tracked address, snow@rockport-llc.com, so nothing gets lost in someone’s personal inbox.
4. Ask how service will be documented
Documentation is your best defense against slip-and-fall claims. Ask your contractor for service times, materials used and certified snowfall totals. Rockport attaches a third-party WeatherWorks certified report to every snow invoice.
5. Check insurance certificates
Get a current certificate of insurance that names your association or management company as additional insured.
6. Walk the property before the ground freezes
- Stake curbs and edges
- Note new trees, signs or hardscape
- Confirm vehicle and towing rules for plow nights
- Check that walkway lighting works
